Attachments and documents
Open documents, spreadsheets, presentations and PDFs from mail inside Nixt Mail, edit and save them, send the edited copy back, and know the file limits.
Nixt Mail opens the files people send you in its own editors, inside the app, rather than handing them to another program. You can read and change a Word document, an Excel workbook, a PowerPoint presentation or a PDF, save it, and send the changed copy back to the person who sent it.
This page covers opening, saving and sending files back from Mail. For the Documents view, which lists every file in your mail in one place, see The Documents view. Detailed guides to the editing tools themselves are in the documentation for Nixt Writer, Nixt Sheets, Nixt Slides and Nixt PDF.
Which files open where
| Kind | File types | Opens in |
|---|---|---|
.pdf | The PDF viewer in Nixt Mail. | |
| Document | .docx, .docm, .dotx, .dotm | The document editor in Nixt Mail. |
| Spreadsheet | .xlsx, .xlsm, .xltx, .xltm, .csv, .tsv | The spreadsheet editor in Nixt Mail. |
| Presentation | .pptx, .pptm, .potx, .potm, .ppsx, .ppsm | The presentation editor in Nixt Mail. |
| Programs and installers | .exe, .msi, .bat, .cmd, .ps1, .vbs, .js, .sh, .command, .app, .dmg, .pkg, .jar, .apk, .deb, .rpm, .lnk, .url, .desktop and similar | Nothing. They are saved but never opened. |
| Everything else | Images, archives, audio, video, older Office files and so on | Saved, then opened with the app your computer uses for that type. |
Nixt Mail checks what a file really is, not only what its name says. If a file named .xlsx is really a Word document, it opens in the document editor, and the status bar at the bottom says This file is named “xlsx” but its contents are a document. Nixt Mail has opened it as what it actually is. An Office-named file that is really a PDF opens in the PDF viewer. A file named .pdf that is not a PDF is handed to your computer instead.
Files in other formats
| Files | What Nixt Mail says |
|---|---|
Pre-2007 Office files: .doc, .xls, .ppt, .pps, .dot, .xlt, .pot | It suggests opening the file in Word, Excel or PowerPoint once and saving it in the newer format. |
OpenDocument files: .odt, .ods, .odp | It suggests exporting the file as .docx, .xlsx or .pptx. |
| A file with no extension | This file has no extension, so Nixt Mail cannot tell what it is. |
| Any other type | **Nixt Mail has no editor for .**type files. |
From a message, these files are saved and handed to your computer. Opened with Open a file… in Documents, they show a Cannot open file name dialog with the reason and the suggestion.
Open an attachment from a message
- Open the message.
- Under 1 attachment or N attachments, click the file’s card.
What the card does:
- It downloads the file and saves it — to your Downloads folder, or to a folder you choose, depending on Settings › Reading › Where attachments are saved (Save to Downloads, the default, or Ask where to put it).
- It opens the saved copy in the matching editor.
Clicking the card again opens the saved copy without downloading it a second time.
The line under the file name on the card shows:
| Line | Meaning |
|---|---|
| A size, such as 2.4 MB | The file’s size, when the message says. |
| opens here | A PDF that opens in the Nixt PDF viewer. |
| saved | The file has been saved during this session. |
| program — saved, not opened | A program. Nixt Mail saves it and says where, but will not run it. |
Attachments up to 100 MB can be downloaded and opened in Nixt Mail.
The document, spreadsheet and presentation editors
The three editors open over the whole window and share the same frame.
The title bar
| Part | What it does |
|---|---|
| Back arrow, Close | Closes the file. If it has unsaved changes, you are asked first. |
| File name | Without its extension. |
| Amber dot, Unsaved changes | The file has changes that are not saved. |
| Lock | The file is read-only, and Save is greyed out. |
| Where it came from | From sender for a file opened from the Documents view, the file’s location on this computer, or Not saved yet for a new file. |
| Present | Presentations only. Starts the slide show from the current slide. Tooltip: Present from this slide F5. |
| Save | Saves the file. See Save. |
| Download icon, Save a copy as | Saves a copy in a format you choose. See Save a copy in another format. |
| More | A menu of extra commands for that editor. |
Under the title bar is a ribbon of tabs, and at the bottom a status bar showing a summary of the file — such as a word count — and the result of the last action.
| Editor | Ribbon tabs | Items in More |
|---|---|---|
| Document | Home, Insert, Design, Layout, References, Mailings, Review, View | Reply with this file…, Print…, Find and replace…, Navigator, Reviewing pane, Word count…, Formatting marks, Rotate the page, Narrow margins, Normal margins, Document properties… |
| Spreadsheet | Home, Insert, Page Layout, Formulas, Data, Review, View, and Table or Chart when one is selected | Reply with this file…, Find and replace…, Function browser, Grid lines, Freeze panes here, Filter, Format as table |
| Presentation | Home, Insert, Design, Transitions, Animations, Slide Show, Review, View, and Table when one is selected | Reply with this file…, Show notes or Hide notes, Slide inspector, Widescreen (16:9), Standard (4:3), Hide this slide or Show this slide |
Reply with this file… appears for a file opened from the Documents view, when the message it came with has a sender to reply to. See Send the edited file back.
Save
Press ⌘S (Ctrl+S on Windows and Linux), or click Save.
| The file was | What Save does |
|---|---|
| Opened from a message’s attachment card | Writes the changes over the copy that was saved when you opened it, in Downloads or the folder you chose. The status bar says Saved to location. |
| Opened from the Documents view | There is no file on this computer yet, so Save asks where to put it, as Save a copy as does. |
| Opened with Open a file… | Writes back to the same file. |
| New | Asks where to put it. |
Saving never changes the attachment in the original message.
If saving fails, the status bar says Could not save: and the reason.
Save a copy in another format
- Click the download icon, Save a copy as.
- Choose a format.
- Choose where to save it and click Save.
| Editor | Formats |
|---|---|
| Document | Word document (.docx), PDF (.pdf), Web page (.html), Markdown (.md), Plain text (.txt) |
| Spreadsheet | Excel workbook (.xlsx), PDF (.pdf), Comma-separated values (.csv), Tab-separated values (.tsv), Web page (.html) |
| Presentation | PowerPoint presentation (.pptx), PDF (.pdf), Markdown outline (.md), Plain text (.txt) |
- Saving a copy in the file’s own format makes that copy the file you are editing: later saves go to it.
- Saving in another format writes that file and leaves you editing the original.
- A spreadsheet saved as
.csvor.tsvcontains the sheet you are on.
The status bar says Saved file name when it is done.
Choose More › Print… in the document editor. Nixt Mail makes a PDF of the document as it would print and opens it in your computer’s PDF viewer, where you choose the printer. The status bar says Opened in your PDF viewer — print from there.
Close with unsaved changes
When you close a file with unsaved changes, a dialog asks Save changes to file name**?** — Your changes will be lost if you close without saving.
- Save saves, then closes.
- Don’t save closes without saving.
- Cancel keeps the file open.
The PDF viewer
A PDF from a message opens in the Nixt PDF viewer. You can read it, search it, mark it up, redact it, fill in forms, and change its pages.
| Part | What it does |
|---|---|
| Close document | Closes the viewer. With unsaved marks, it asks Close without saving? — Your marks on this document will be lost. — with Keep editing and Discard. |
| Side panel button | Show the side panel or Hide the side panel, with Pages, Contents, Form and Notes. |
| Page counter | The current page and the number of pages. |
| Find in document | Searches the text. |
| Zoom out, Zoom in | Change the size. |
| Read only | Shown when the document cannot be changed. |
| Tools | Read, Highlight, Draw, Note, Box and Redact, with colours for the marking tools. |
| Undo | Undoes the last change. Its tooltip names it, or says Nothing to undo. |
| Unsaved | Shown while there are unsaved changes. |
| Save | Writes the changes to the copy of the file on this computer. The status line says Saved to location. |
| Document menu | Commands for the whole document. |
The Document menu:
| Item | What it does |
|---|---|
| Document properties… | Shows the document’s properties. |
| Rotate page left, Rotate page right, Rotate every page | Turn pages. |
| Duplicate this page, Insert a blank page, Insert pages from a file…, Delete this page | Change the pages. Delete this page is not offered for a one-page document. |
| Save pages as a new PDF… | Saves chosen pages as a separate file. |
| Save the text… | Saves the document’s text as a plain text file. Offered when the document has text. |
| Add a watermark…, Add page numbers…, Add Bates numbering… | Stamp every page. Page numbers can use {page}, {pages}, {date} and {file}. |
| Save a copy… | Saves a copy somewhere else. |
| Print… | Opens a copy in your computer’s PDF viewer to print. |
| Reply with this file… | Sends the document, with your changes, back to the sender. See Send the edited file back. |
For a PDF opened from a message’s attachment card, Save writes to the attachment saved in Downloads or the folder you chose.
Redact removes the text under the box from the document rather than covering it. Before it does, it asks Remove this text permanently?, explaining that the words cannot be recovered and that redacting clears the undo history. After redacting, the status line says how many characters were removed and reminds you to save.
Keyboard shortcuts in the PDF viewer:

Send the edited file back
Reply with this file… starts a reply to the person who sent the file, with your edited copy attached.
- In the editor, choose More › Reply with this file…, or in the PDF viewer, Document › Reply with this file….
- The editor closes and the compose window opens with:
- To: the sender,
- Subject: Re: and the original subject,
- the body Here’s file name with my changes. — or Here’s file name back. if you did not change it,
- the file attached, exactly as it is in the editor, including changes you have not saved.
- Edit the message and click Send.
For a PDF, the attached copy is the one in the viewer, so redactions, filled fields and marks are included even if you have not pressed Save.
If a message is already being written, a dialog asks Replace the message you are writing? — A draft is already open. Attaching this file would start a new reply and discard it. Choose Replace it, or Keep my draft; the editor then says Left your draft alone.
The command is offered for a PDF opened from its attachment card in a message, and for any file opened from the Documents view. If the message has no sender address, the command is not offered; in the PDF viewer it says There is no sender to reply to for this file.
