Sharing stamp sets

Save stamps to a file so a whole team stamps with the same ones, add a set somebody sent you, update it when a newer file arrives, and remove it.

A stamp set is a file holding stamps you designed and picture stamps you added. Send it to your team, and everyone who adds it stamps with exactly the same stamps. When the set changes, send the newer file and adding it brings everybody’s copies up to date.

A set holds stamps only. Your signatures and initials are never put in a set, and a set can’t add them to anybody else’s computer.

Saving a set to share

  1. On the Comment tab, click Share stamps… (or click Share… in the Stamps dialog).
  2. In the Share stamps dialog, fill in:
    • Name of the set — what the stamps are filed under on everyone’s computer, such as Finance. It starts as the name of your one set if all your stamps are in one, or your organisation’s name followed by stamps, or Our stamps.
    • What it is for — a description shown to whoever adds it.
    • Made by — starts as your name.
  3. Choose the stamps. All your stamps and picture stamps are ticked to begin with, grouped under Your own and From “Finance” (for example). Use Choose all and Choose none to change the lot, and the tick boxes to change one. The count shows as 5 chosen.
  4. Click Save the set…. It’s dimmed until a stamp is chosen and the set has a name.
  5. In the Save the set of stamps dialog, choose where to save. The file is named after the set.

The message says Saved “Finance” with 5 stamps. Send the file to whoever should have them: they add it from the stamp list, with Add from a file.

What goes in the file:

  • Each chosen stamp as a design, so a gap stays a gap: {name} becomes the name of whoever stamps with it.
  • Each chosen picture stamp, and the picture of any chosen stamp that carries one, even if that picture wasn’t ticked.
  • The set’s name, description, who made it and when.

The file contains only stamp designs and pictures. Nothing in it runs.

If you have no stamps of your own, the dialog says there is nothing to share yet; design a stamp first. The ready-made stamps don’t need sharing, because every copy of Nixt PDF has them.

Adding a set somebody shared

  1. On the Comment tab, click Add stamps from a file… (or click Add from a file… in the Stamps dialog).
  2. In the Choose a set of stamps dialog, choose the set file.
  3. The Add “Finance” dialog shows who made the set and when, its description, and a preview of every stamp in it.
  4. Click Add 5 stamps (or Add the stamp for a set of one).

The stamps are filed under the set’s name — From “Finance” in the stamp list — apart from your own. The message says what happened, for example “Finance”: 3 stamps added, 2 stamps brought up to date.

Updating a set

Add the newer file of the same set the same way. When you already have stamps from a set of that name, the Add dialog says You have 5 stamps from “Finance” already. Adding this brings them up to date; your own stamps are not touched.

  • Stamps that changed are brought up to date.
  • New stamps are added.
  • Stamps that are the same are counted as already here.
  • Nothing is doubled, and none of your own stamps is replaced.

When not everything fits

Your stamp list holds up to 200 stamps, and up to 24 picture stamps. Adding a set never pushes out anything you already have. Stamps that don’t fit are left out, and the message ends 2 stamps did not fit — delete some of yours to make room.

Removing a set

  1. On the Comment tab, click Choose a stamp….
  2. Find the set’s shelf, From “Finance”, and click Remove this set.
  3. In the Remove the stamps from “Finance”? dialog, click Remove them, or Keep them to change your mind.

Every stamp and picture stamp from that set is taken out of your list. Stamps already on documents stay as they are, and the set can be added again from its file.

Problems adding a set
