Watermarks, headers and Bates numbers
Put a watermark across every page, add a header or footer with page numbers and the date, and number a bundle of pages with Bates numbers.
Watermarks, headers and footers, and Bates numbers are drawn into the pages themselves rather than laid on top as comments. They print, they appear in a screenshot, and no reader can switch them off. All three go on every page of the document, and all three are on the Edit tab, in the On every page group.
After each one, the message says Added to all 12 pages. Undo takes it off again.
Watermark
A watermark is large, faint text across the middle of every page — DRAFT, CONFIDENTIAL, COPY.
- On the Edit tab, click Watermark….
- In Text, type the watermark. It starts as DRAFT.
- Drag How strong to set how faint it is. The line under the slider shows the percentage, from 5% to 60%; it starts at 16%.
- Click Add the watermark. It’s dimmed while Text is empty.
The watermark is grey, runs diagonally across the page, and is sized to the page, so it says the same thing on an A4 page and on a large plan.
Header and footer
A header or footer is a line of small text at the top or bottom of every page, in three parts: left, centre and right.
- On the Edit tab, click Header and footer….
- Type in any of Left, Centre and Right. Right starts as
Page {page} of {pages}. - Choose the position with the switch: At the bottom of the page (the default) or At the top of the page.
- Click Add it. It’s dimmed while all three parts are empty.
These codes are filled in on each page:

For example, {file} in Left and Page {page} of {pages} in Right puts the file name at one side of every page and Page 3 of 12 at the other.
To have a header and a footer, add one, then open the dialog again and add the other.
Bates numbers
Bates numbers are one unbroken sequence of numbers across a document, used to cite pages in legal and regulatory bundles.
- On the Edit tab, click Bates numbers… (or choose More › Bates numbering…).
- Fill in:
- Prefix — text before the number, such as
ACME-. - Start at — the first page’s number. It starts as 1.
- Suffix — text after the number.

- Check For example, which shows how the first number will look, such as
ACME-000001. - Click Number the pages. It’s dimmed unless Start at is a whole number of 0 or more.
The numbers are six digits long, padded with zeros, in a typewriter font at the bottom right of every page.
