Selecting and navigating
Select cells, ranges, rows and columns with the mouse and keyboard, jump with the name box and Go to, and select cells by kind with Go to Special.
The selection is the block of cells your next command acts on. Its active cell — the one you type into — is called the current cell, and its address is shown in the name box and at the left of the status bar.
Select with the mouse
| To select | Do this |
|---|---|
| One cell | Click it. The selection moves as soon as you press the mouse button. |
| A block of cells | Drag from one corner to the other. Drag past the edge of the grid to scroll while you select. |
| A block from the current cell | Shift-click the far corner |
| A column | Click its letter. The selection runs from row 1 down to the last row that holds data. |
| A row | Click its number. The selection runs from column A across to the last column that holds data. |
| Several columns or rows | Click the first heading, then Shift-click the last |
| All the data on the sheet | Click the corner where the row and column headings meet |
Clicking a cell inside a merged block selects the whole merge.
If the sheet has an outline, the corner also holds small numbered level buttons, and clicking them shows that outline level instead of selecting everything. See Outlines and grouping.
Clicking a picture, shape or chart selects the object rather than cells. See Pictures, shapes and text boxes.
Select and move with the keyboard
The grid must have keyboard focus — click a cell first if you have been typing somewhere else.
| Key | What it does |
|---|---|
| Arrow keys | Move one cell |
| Shift + arrow keys | Extend the selection one cell |
| ⌘ + arrow keys (Ctrl + arrow keys on Windows and Linux) | Jump to the edge of the block of filled cells in that direction. From an empty cell, jump to the next filled cell, stopping one cell past the edge of the data. |
| ⇧⌘ + arrow keys (Ctrl+Shift + arrow keys) | Extend the selection to that edge |
| Home | Move to column A in the current row |
| Shift+Home | Extend the selection to column A |
| Page Down / Page Up | Move 24 rows down or up |
| Shift+Page Down / Shift+Page Up | Extend the selection 24 rows |
| Enter / Shift+Enter | Move down or up one cell |
| Tab / Shift+Tab | Move right or left one cell |
| ⌘A (Ctrl+A) | Select all the data on the sheet — the block from the first to the last filled cell |
On a Mac, the Control key works in place of ⌘ for these shortcuts. The grid scrolls to keep the current cell in view.
When a picture, shape or chart is selected, the arrow keys move the object instead of the current cell. See Pictures, shapes and text boxes.
Jump with the name box
The name box is at the left of the formula bar.
- Click the name box.
- Type an address: a cell (
B12), a block (A1:C9), whole columns (B:D) or whole rows (2:5). - Press Enter.
If what you typed isn’t an address, the status bar says ”…” is not a cell reference. To jump to a defined name, use Go to.
Go to
- Choose Home › Editing › Find › Go to….
- In Reference or name, type a cell, a block or a defined name — for example
B12,A1:C9orRevenue. You can include a sheet name, such asSummary!B4or'Q1 figures'!A1:D20, to switch to that sheet. - Click Go, or press Enter.
Dollar signs are ignored. If the text isn’t a cell, a block or a name, the status bar says ”…” is not a cell, a range or a name.
Go to Special
Go to Special selects every cell of one kind on the current sheet.
- Choose Home › Editing › Find › Go to….
- Under OR SELECT EVERY CELL THAT IS, click one of the buttons:
| Button | Selects cells that |
|---|---|
| Formulas | Hold a formula |
| Constants | Hold a typed value rather than a formula |
| Blanks | Are empty, within the data on the sheet |
| Errors | Show an error value |
| Notes | Have a note |
| Data validation | Have a data validation rule |
| Conditional formatting | Are covered by a conditional formatting rule |
The search covers the block from the first to the last filled cell on the sheet. Nixt Sheets selects the smallest block that contains every cell it found, and the status bar says how many there were — for example 12 cells — selected the block covering them. If none were found, the status bar says so — for example No formulas found.
Move between notes and comments
- Review › Notes › Previous note and Next note move to the previous or next cell with a note on this sheet, wrapping round at the ends.
- Review › Comments › Previous comment and Next comment move through every comment thread in the workbook, switching sheets as needed.
See Notes and comments.
Switch sheets
Click a sheet’s tab at the bottom of the window. The new sheet opens with cell A1 selected. See Rows, columns and sheets.
Zoom
| To | Do this |
|---|---|
| Zoom in or out by 10% | ⌘= or ⌘- (Ctrl+= or Ctrl+- on Windows and Linux), or View › Zoom › Zoom in and Zoom out |
| Go back to 100% | Click the percentage in View › Zoom |
| Fit the selection to the window | View › Zoom › Fit |
